Smart meter installation SOP for field teams

Last updated

A smart meter installation SOP tells every crew to do a meter replacement the same way: prepare, identify the right premises, record the old meter, fit and seal the new one, capture evidence and submit. This guide is a starting template. Adapt it to your DISCOM's safety rules and the meter maker's instructions, which always take priority.

Why write an SOP at all

On a rollout of lakhs of meters, the crew that does a perfect job and forgets the seal photo costs almost as much as the crew that does a poor one. Somebody goes back. An SOP is how you make the 15-minute job identical whether it's the best technician on the team or someone who joined on Monday.

Keep yours short enough to fit on one laminated sheet, and put the same steps into the app form so the phone enforces what the sheet says.

Safety first. This guide doesn't replace your DISCOM's safety rules, permit-to-work process or the meter maker's installation manual. Where they differ from anything below, follow them.

Before leaving for the day

  1. Sync the phone while there is good signal, so today's jobs, consumer details and any form changes are on it.
  2. Collect meters and seals against your name. Note the serial range issued. Every meter and seal should be traceable to a crew.
  3. Check tools and PPE. Insulated tools, gloves, tester, ladder, and whatever your DISCOM requires.
  4. Charge the phone and carry a power bank. A dead phone at 3 pm means the afternoon's jobs are recorded on paper and typed later.

At the premises

  1. Confirm the premises. Match the consumer number and address with the job. If they don't match, stop and record why. Don't install at the wrong address because it's "close enough".
  2. Inform the consumer that the meter is being replaced and supply will be off briefly.
  3. Photograph the old meter with its reading and serial clearly visible, before you touch it.
  4. Record the final reading of the old meter. This is the reading billing will close the old meter on.
  5. Isolate the supply following your DISCOM's procedure.
  6. Remove the old meter and keep it with its serial visible for return.

Fitting the new meter

  1. Fit and wire the new meter following the maker's instructions.
  2. Scan the new meter's serial from its barcode. Don't type it. Scan the old meter's serial too if it has a barcode.
  3. Fit seals and record each seal number, scanned where possible.
  4. Restore supply and check that the meter powers up and the display works.
  5. Note the initial reading of the new meter.

Evidence and submission

  1. Photograph the installed meter showing the serial and seals, plus a wider shot showing where it is mounted.
  2. Capture a GPS fix at the meter, outdoors if you can, and wait for a good accuracy before saving.
  3. Record anything unusual: a damaged box, a bypass found, a consumer who refused, a meter fitted in a different place.
  4. Submit the job in the app before leaving. If there is no signal, it waits on the phone and syncs later.

Before signing off

  1. Sync again with good signal, and check that nothing is stuck in the outbox.
  2. Return old meters and unused stock against your name.
  3. Fix rejections early. If a supervisor rejected a job with a note, fix it on the next visit in that area rather than letting it pile up.

What supervisors should check

An SOP works when someone checks it. For each submitted job, a supervisor should see the old and new serials, the final and initial readings, the seal numbers, before and after photos and a GPS fix, and should reject anything missing with a clear note. Putting the SOP into the app

In PIEBENCH, you start from the Meter Installation template and add the rest of these steps in the form builder: a consumer confirmation, extra photos, a DT code. Any step can be made required, so a job can't be submitted without the seal photo. The Scout Android app works offline and refuses a meter serial that already exists in the project. Questions buyers ask

What should a smart meter installation SOP include?

Preparation (sync, stock issued against the crew, PPE), premises confirmation, the old meter's photo and final reading, safe isolation, fitting and sealing the new meter, scanning serials and seal numbers, after photos, a GPS fix, and submitting the job. Your DISCOM's safety rules and the maker's manual take priority.

What photos should be taken during smart meter installation?

At least the old meter showing its serial and reading before removal, the new meter showing its serial and seals after fitting, and a wider shot of where it is mounted. Some DISCOMs also ask for a premises photo or a photo with the consumer present.

Why record the old meter's final reading?

Billing closes the old meter on that reading. If it is missing or wrong, the consumer's last bill on the old meter is disputed, and someone has to work it out later from photos, if there are any.

How long does a smart meter installation take?

It varies with the site, the meter type and how far apart premises are. Rather than assume a number, measure it: an app that timestamps each job gives you real averages per crew within the first week.

How do I make crews follow the installation SOP?

Put the SOP into the app form, make the critical steps required, and review every job. When a supervisor rejects a job with a specific note, such as "seal photo unreadable", crews learn the standard quickly.
